
HR Solutions has a proven five-step process for successfully conducting an Employee Survey, which specifically guards your organization against some of the most common mistakes, including: creating unrealistic employee expectations, improper post-survey feedback, and inadequate survey follow-up.
1. Survey Set-up, Coding Design, and Pre-Administration Communication
We begin our process by including you and your key employees in the design of the custom portion of the survey, which not only helps to mold it into a distinct instrument for your organization, but also prompts these individuals' anticipation and acceptance of the survey results and action plans later in the process. In addition, you will have the chance to edit even our standard survey items to ensure that the language used is specific to the nuances of your business.
Next, your HR Solutions consultant will work with representatives from your organization to design the demographic coding for the survey. At this stage you will have an opportunity to review and approve how the statistical survey results will be presented, thereby guaranteeing that your organization will receive the exact information it is seeking.
2. Survey Administration
Each of our surveys can be administered in one of three ways, or in any combination of these methods:
Paper & Pencil - Paper-based surveys are administered using a variety of methods, including business-reply mailings and on-site administration.
Internet - HR Solutions' internet survey services use the most up-to-date software and provide user-friendly features. Telephone support for participants is readily available from HR Solutions.
Telephone - Phone surveys are conducted using either an interactive voice response (IVR) system or with an outbound call placed by an HR Solutions' representative.
Incentives
HR Solutions frequently recommends the use of participation incentive, and assists our clients by developing customized incentive programs. Incentives help ensure a statistically reliable participation rate, which can dramatically increase the value of your survey data.
3. Data Processing, Analysis of Results and Write-in Comments
HR Solutions offers users access to multiple types of data analysis to fit your needs, all presented in an easy-to-read, condensed format which includes Normative Data. Our technically advanced reporting solution, ActionPro™, provides a high level overview of current reports, charts and action plans from the ActionPro™ Dashboard.
The ActionPro™ Dashboard allows managers to step back from the details and see key trends and relationships. Or choose to dive into the details, which along with demographic data, will uncover the relationships that drive company and workgroup performance.
4. Feedback/Focus Groups
This is the most important phase of any Employee Opinion Survey. HR Solutions' feedback sessions have the following five key objectives:
To test the validity of the statistical results by monitoring employee reaction to the information;
To become alerted to any organizational or departmental changes, either negative or positive, since the survey was administered;
To further substantiate the statistical data with qualitative information from the employees;
To include employees in the conclusion-making and action-planning processes, with a particular emphasis on garnering their solutions to issues highlighted by the statistics; and,
To determine the level of significance of specific items mentioned in the survey; this objective greatly assists management in setting the right priorities for change.
During this phase of your survey, the HR Solutions consultant, survey manager, or department head (depending upon your preference) meets with employees on a departmental basis, and reviews their survey results with them. Employees are told how they scored on each survey dimension, and how their work group compares to the total organization. They are also shown how their results compare to other similar organizations. Employees are then asked for their impressions/feedback regarding the survey results, thus providing the organization with the qualitative information needed to fully understand the survey results.
5. Final Report Presentation and Action Plan & Post Survey Support
Our final report will not only identify areas in need of improvement and prescribe specific solutions to these issues, but as importantly, it will highlight what your organization is doing right. The report will outline a detailed plan of action for your organization to follow, based upon the statistical survey results and the feedback findings. Typically, we then verbally present our final report and action plan to senior management for concurrence and subsequent implementation.
